Purchase order questions, answered
- What's the difference between a purchase order and an invoice?
- A purchase order is created by the buyer to order goods or services before they are delivered; an invoice is created by the vendor to request payment after delivery. The PO number on this template is what the vendor references back on their invoice so both sides can match the order.
- Do I need a purchase order for every order?
- No — POs are most useful for larger orders, new vendors, or anything you want an approval trail for. Many teams set a dollar threshold above which a PO is required. For a one-off small purchase a plain receipt may be enough.
- The totals don't calculate automatically — is that expected?
- Yes. This is a fill-in PDF, so you type the subtotal, tax, shipping, and total yourself. That keeps everything working entirely in your browser with nothing uploaded; just add up the line items and enter the figures.
- Is a purchase order legally binding?
